Invite VAs and set access
Owners and Managers with access to the whole Workspace can invite VAs on an active Studio or Agency plan. VAs use their own sign-in and the customer's subscription.
Create an invitation#
- Open Team and enter the employee's email.
- Confirm Start with all shared Devices.
- Select Create invitation, then copy and share the link.
No invitation email is sent automatically. Links expire after 24 hours, work only for the invited email, and can be claimed once. Copy the link while it is shown.
VAs initially see all shared Devices. To restrict access before they begin, stop sharing other Devices on the Mac until their assignments are saved.
Accept an invitation#
Open the link and register or sign in with the verified invited email. Google is available when offered and requires the matching verified Google address.
Existing accounts select Join Workspace as VA after signing in. Google does not automatically link to an existing password account; use your original sign-in method.
Your other Workspaces and Roles stay unchanged. You can be an Owner in one and a VA in another. Switch from the profile dropdown. A VA does not need a personal paid plan.
Choose Device access#
In Team → Device access, keep All shared Devices, including new ones, or choose Selected Devices only, check the Devices, and select Save access. Selecting none gives no access. The Mac must also share each Device.
Access covers the entire Device and its Accounts. The remote Library includes media available to its Client, not a private Library per Device. Changes to live access take effect within one minute; stop sharing on the Mac to end it locally.
Warmup permission#
Allow warmup is separate per Device and off by default. It permits start/stop using the customer's existing settings. The remote-control screen does not include Warmup controls, even when this permission is enabled.
VA limits#
VAs can control assigned shared Devices, upload media and send it to Photos. Uploads count toward the customer's storage allowance.
VAs cannot issue activation codes, activate the Desktop App, manage billing or Team access, rename the Workspace, configure Schedules, or edit warmup settings. The optional warmup permission does not grant arbitrary custom flows.
Remove access#
Use Revoke invitation for an unused link. For a joined VA, select Revoke access → Remove access. Live access ends within one minute.
Removal preserves their sign-in and other Workspaces. An old invitation cannot restore access; create a new one if they should return. Team does not provide Role promotion or Manager creation.
